Operating at both national and provincial levels, the division plays a pivotal role in supporting operational policing and protecting the safety of South African citizens. Secretaries in Crime Intelligence provide essential high-level administrative support to Section Heads and Component Heads. Job Purpose To provide professional secretarial and administrative support to the Head of Office or Section Head in the Crime Intelligence Division. You will manage diaries, handle correspondence, maintain records, coordinate meetings, and ensure efficient office administration while upholding the highest standards of confidentiality and professionalism. Detailed Key Responsibilities As a Secretary, your core duties will include: Provide secretarial support functions in the relevant office, including typing reports, letters, memoranda, and other correspondence. Manage the diary of the Head of Office for internal and external engagements, including scheduling, confirming, and reminding of appointments. Coordinate travel arrangements, accommodation, subsistence allowances, and claims for the Head of Office. Maintain an updated and efficient filing system for the office, ensuring easy retrieval of documents. Distribute correspondence, circulars, and documents to relevant stakeholders while keeping accurate registers of incoming and outgoing post. Handle routine correspondence, send and receive emails and faxes promptly and professionally. Answer and make telephone calls on behalf of the Head of Office, taking accurate messages and ensuring professional communication. Provide administrative support during meetings, workshops, and other events involving the office. Handle confidential and classified documents with the highest level of integrity and discretion. Operate standard office equipment (fax machine, photocopier, telephone, computers, etc.) efficiently. Host and serve refreshments to visitors during meetings when required. Manage the inventory and stationery supplies for the office. Be willing to work extended hours when necessary to meet operational demands. The role requires a high degree of confidentiality, professionalism, and the ability to manage multiple priorities in a sensitive environment. Minimum Requirements Be a South African citizen (documentary proof required on the day of the interview). Grade 12 / Senior Certificate / NCV Level 4 or equivalent qualification (NQF Level 4 as recognised by SAQA). Proficiency in at least English and one other official language. General computer literacy (MS Word, MS Excel, MS Office, MS PowerPoint, MS Outlook). Relevant courses in the field of secretarial/administrative work will serve as an added advantage.
