Secretaries in this division provide essential high-level administrative support to senior managers and section heads. Job Purpose

To provide professional secretarial and administrative support to the Senior Manager or Section Head in the Detective and Forensic Services Division. You will manage diaries, handle correspondence, maintain records, coordinate meetings, and ensure efficient office administration while upholding the highest standards of confidentiality and professionalism.

Detailed Key Responsibilities

As a Secretary, your core duties will include:

  • Perform secretariat duties and provide comprehensive administrative support to the office.
  • Type reports, letters, memoranda, and other correspondence accurately and timeously.
  • Maintain the diary of the Senior Manager, schedule meetings, and assist with minute-taking.
  • Arrange travel logistics, including flights, accommodation, subsistence allowances, and claims.
  • Maintain an effective record and filing system for the office.
  • Distribute documents and correspondence to relevant stakeholders.
  • Handle routine and confidential enquiries professionally.
  • Provide support during meetings, workshops, and official events.
  • Manage confidential documents with the highest level of integrity and discretion.
  • Operate standard office equipment (photocopier, fax, telephone, computers, etc.) efficiently.
  • Host and serve refreshments to visitors during meetings when required.
  • Ensure smooth flow of documents to and from the office.
  • Be willing to work extended hours when operational demands require it.

The role requires a high degree of confidentiality, professionalism, and the ability to manage multiple priorities in a sensitive forensic and detective environment.

Minimum Requirements

  • Be a South African citizen (documentary proof required on the day of the interview).
  • Grade 12 / Senior Certificate / NCV Level 4 or equivalent qualification (NQF Level 4 as recognised by SAQA).
  • Proficiency in at least English and one other official language.
  • General computer literacy (MS Word, MS Excel, MS Office, MS PowerPoint, MS Outlook).
  • Relevant courses in the field of secretarial or administrative work will serve as an added advantage.
  • A valid driver’s licence will serve as an added advantage.
  • Willingness to work under pressure and extended hours.
