The Division: Human Resource Development is responsible for the training, skills development, and continuous professional growth of SAPS members. Administration Clerks are the administrative backbone of these academies and the national HRD Division. They ensure smooth day-to-day operations, accurate record-keeping, efficient document management, and high-quality support to training programmes. Job Purpose

To provide efficient general clerical and administrative support within the Human Resource Development environment. You will handle routine correspondence, maintain filing systems, process documents, support meetings and workshops, and ensure the smooth flow of information and administrative processes at SAPS Academies and the HRD Division.

Detailed Key Responsibilities

As an Administration Clerk, your core duties will include:

  • Perform general clerical duties including typing letters, reports, memoranda, and other correspondence.
  • Update registers, statistics, and databases accurately and timeously.
  • Handle routine enquiries and provide professional customer service to internal and external stakeholders.
  • Make photocopies and distribute documents/packages to relevant stakeholders daily.
  • Deliver and collect documents from surrounding areas as required.
  • Maintain an effective and updated filing system for the office or directorate.
  • Provide administrative support during meetings, workshops, and training sessions.
  • Manage the flow of documents to and from the relevant office.
  • Send and receive emails promptly and professionally.
  • Answer and make telephone calls on behalf of the Head of Office and take accurate messages.
  • Keep records of all incoming and outgoing post up to date.
  • Handle confidential documents with the highest level of integrity.
  • Operate standard office equipment (photocopier, telephone, computers, etc.).
  • Support the coordination of learner support, monitoring & evaluation (M&E), curriculum development, and other HRD functions.
  • Assist with any other reasonable administrative tasks as assigned by supervisors.

The role requires strong organisational skills, the ability to work under pressure, and a high level of confidentiality when handling sensitive information.

Minimum Requirements

  • Be a South African citizen (documentary proof required on the day of the interview).
  • Grade 12 / Senior Certificate / NCV Level 4 or equivalent qualification (NQF Level 4 as recognised by SAQA).
  • At least four (4) years’ experience in the field of administration or related functions.
  • Proficiency in at least English and one other official language.
  • General computer literacy (MS Word, MS Excel, MS Office, MS PowerPoint, MS Outlook).
  • A valid driver’s licence will serve as an added advantage.
  • An applicable three (3) year Diploma / Degree (NQF Level 6 or higher) in Public Administration, Human Resource Management, or related field, as well as relevant training courses, will serve as a strong added advantage.
