About the Human Resources Clerk Role in SAPS KZN

The South African Police Service is the national law enforcement agency responsible for preventing and combating crime. Effective Human Resources management is critical to ensuring that police stations and specialised units are adequately staffed and supported.

As a Human Resources Clerk, you will handle key HR processes including leave administration, medical boards, service terminations, transfers, promotions, performance management, and grievance/disciplinary enquiries. You will work at key locations such as Durban Central, Empangeni, Inanda, Umlazi, KwaDukuza, Plessislaer, Phoenix, Pietermaritzburg, and the Provincial Head Office Crime Detection Support — providing broad exposure across the province.

Key Responsibilities

Successful candidates will be responsible for the following core duties (among others):

  • Verify information on leave application forms (SAPS 26) and process/finalise leave applications.
  • Receive, administer, and process applications for medical boards, death boards, alcohol boards, stress and depression related boards.
  • Receive, administer, and process applications for service terminations, discharges, and pensions.
  • Maintain statistical data and submit medical reports, Performance Enhancement Process (PEP) progress reports, service termination reports, HR reports, EE Reports, and personnel reports to provinces.
  • Receive and process transfers and submit applications to the Head: HRM for consideration.
  • Receive and process promotions and verify information on SAPS 172 forms.
  • Capture personnel information on the PERSAP System and forward copies to provincial office.
  • Receive and register disciplinary/grievance enquiries and forward to the Head: HRM.
  • Process and finalise grievance/disciplinary enquiries.
  • Capture PEP information for compliance purposes.
  • Process incentives and rewards for employees annually.
  • Consolidate and submit PEP progress reports on compliance to province.
  • Ensure accurate record keeping and data management.
  • Provide professional administrative support to the HR component.
  • Uphold confidentiality and handle sensitive information with integrity.

Minimum Requirements

  • Grade 12 / Senior Certificate / NCV Level 4 or equivalent qualification (NQF Level 4).
  • Relevant courses in Human Resources Administration or related fields (advantageous).
  • Proficiency in English and at least one other official language.
  • Strong computer literacy skills (MS Word, MS Excel, MS Office, MS PowerPoint, MS Outlook).
  • Excellent verbal and written communication skills.
  • Sound planning, organising, and problem-solving abilities.
  • Ability to work independently, professionally, and under pressure.
  • Strong interpersonal skills and customer focus.
  • Willingness to work extended hours when required.
  • South African citizen with a clear criminal record.
