Job Purpose

To provide efficient administrative support in human resource development functions, including personnel provisioning, maintenance, absenteeism management, service terminations, human resource utilisation, and disciplinary matters. You will ensure accurate record-keeping, compliance with policies, and smooth operational support to SAPS training and development initiatives.

Detailed Key Responsibilities

As a Human Resource Clerk, your core duties will include, but are not limited to:

  • Conduct administration relating to personnel provisioning and maintenance.
  • Manage absenteeism records and reporting.
  • Process service terminations and related documentation accurately and timeously.
  • Support human resource utilisation processes and provide administrative assistance in disciplinary matters.
  • Maintain accurate and up-to-date personnel files and databases.
  • Prepare and process HR-related correspondence, reports, and submissions.
  • Assist with recruitment, selection, and onboarding administration.
  • Handle leave management, payroll queries, and employee benefits administration.
  • Provide general clerical and administrative support to the HRD team.
  • Ensure compliance with all relevant SAPS policies, Public Service regulations, and labour legislation.
  • Participate in audits, inspections, and quality control processes.
  • Respond to internal and external HR-related enquiries professionally.
  • Utilise MS Office (Word, Excel, PowerPoint, Outlook) effectively for reporting and data management.
  • Work collaboratively with training instructors, academy management, and national HRD teams.

The role requires strong attention to detail, the ability to work under pressure, and a high level of confidentiality when handling sensitive personnel information.

Minimum Requirements

  • Be a South African citizen (documentary proof required on the day of the interview).
  • Grade 12 / Senior Certificate / NCV Level 4 or equivalent qualification (NQF Level 4 as recognised by SAQA).
  • At least four (4) years’ experience in the field of human resource administration or related functions.
  • Proficiency in at least English and one other official language.
  • Computer literacy, particularly MS Word, MS Excel, MS Office, MS PowerPoint, and MS Outlook.
  • A valid driver’s licence will serve as an added advantage.
  • An applicable three (3) year Diploma / Degree (NQF Level 6 or higher) in Human Resource Management, Public Administration, or related field, as well as relevant training courses, will serve as a strong added advantage.
