Job Purpose The Civic Services Clerk will provide professional, efficient, and customer-centric frontline services at Home Affairs offices. You will be responsible for handling enquiries, verifying information, processing applications, and ensuring high standards of service delivery in line with Batho Pele principles and departmental policies. Key Responsibilities As a Civic Services Clerk, your duties will include: Attending to customer enquiries and performing online verifications (HANIS, marital status, etc.). Greeting customers warmly and providing a professional, friendly welcome. Offering orientation and clear information on available services. Issuing tickets and directing customers to relevant units while maintaining high service standards. Operating at the front and behind the pay barrier as the main point of contact. Directing customers to appropriate service points in a timely and courteous manner. Maintaining waiting areas to the highest standards of cleanliness, accessibility, and professionalism. Monitoring and managing case records and ensuring timely feedback. Handling influx of foreigners and ensuring proper documentation for those without legal status. Operating the live capture photo booth for identity documents and other services. Verifying, validating, and capturing client information accurately on departmental systems. Administering fingerprints and scanning supporting documents. Receiving, scanning, and filing smart ID cards upon receipt. Processing collections of ID smart cards for clients. Handling applications for Identity Documents, birth, marriage and death registrations, late registrations, rectifications, amendments, and citizenship documents. Implementing policies and procedures in line with the approved framework. Monitoring physical resources and reporting any deficiencies. Ensuring confidentiality and compliance with all data protection and security protocols. You will be expected to deliver services that uphold the department’s vision of excellence, integrity, and Batho Pele principles. Minimum Requirements An undergraduate qualification (NQF Level 6) in one of the following fields: Public Management / Public Administration Operations Management Business Management / Administration Law Social Sciences Basic understanding of the Public Service Regulatory Framework. Knowledge of Civic Services Regulatory Frameworks and Batho Pele Principles. Knowledge of fraud prevention, the Constitution, and departmental regulations.
