Overview of the Role

As a Vehicle Admin Clerk, you will be responsible for managing the full administrative process of new and used vehicles within the dealership. This includes stocking, invoicing, licensing, registration, fitment coordination, and handling traffic fine and e-toll administration. You’ll work closely with the sales and management teams to ensure that all vehicle documentation is accurate, compliant, and completed in line with company policies and dealer standards.

Your work will directly contribute to the dealership’s efficiency and customer satisfaction, ensuring a smooth and professional handover process for every vehicle sold.


⚙️ Key Responsibilities

In this role, you will be expected to perform a variety of important administrative tasks, including:

  • Vehicle Stocking:
    Ensuring all vehicles (new and pre-owned) are correctly stocked on the dealership system with accurate details and pricing.

  • Vehicle Invoicing:
    Generating and managing invoices accurately in accordance with dealership and OEM (Toyota) procedures.

  • Order Management & Fitments:
    Placing orders for vehicles and coordinating any fitments or accessories as required before delivery.

  • License and Registration:
    Managing the entire licensing process, including applications, renewals, and tracking of vehicle registration documents.

  • Key Control:
    Maintaining an accurate key control register and ensuring that all vehicle keys are safely stored and accounted for.

  • Traffic Fine & E-Toll Administration:
    Handling and resolving all traffic fine and e-toll matters efficiently to ensure compliance and avoid unnecessary costs.

  • General Administrative Support:
    Assisting the sales and finance departments with any vehicle administration queries and ensuring all files are up to date and audit-ready.


Minimum Qualification Requirements

  • Grade 12 / Matric Certificate (essential).

  • Additional qualifications in Office Administration or Motor Industry Management will be advantageous.

  • Familiarity with Evolve and e-Toyota systems will be highly beneficial.


Experience Requirements

  • Minimum of 2 years’ experience in vehicle administration within a dealership environment.

  • Proven track record of handling stocking, invoicing, and vehicle licensing processes.

  • Experience working in an automotive franchise (Toyota experience advantageous).

  • Sound understanding of dealership workflows, documentation, and compliance procedures.
