Requirements :

Minimum of Grade 12 or equivalent qualification, a recognised qualification in Office Management /Administration or equivalent. Knowledge of administrative processes, advanced use of MS Office and Internet. Proficiency in English and sound verbal and written communication skills. Sound planning and organizational skills. Ability to communicate well with people at different levels and from different stake holders. Problem solving and conflict management skills. Good interpersonal skills and discipline. Ability to work in a team. High level of reliability and ability to handle information confidentiality. Ability to act with tact and discretion. Good . telephone etiquette. Must be able to work under pressure, take initiative and work independently. Application of legislation and policies related to administrative processes and information security measures. Experience in office management and administration or secretarial duties will be an added advantage.

Duties :

Manage and organize the functions of the unit. Operate office machinery including photocopiers, printers and scanners. Manage work schedules, calendars and appointments. Prepare meetings agendas, attend meeting to take notes and write minutes. Communicate with staff, students and other stakeholders. Give and receive information, address questions and complaints and take orders. Type, format, proofread and edit notes or dictation. Compile and maintain records of office activities and student documents. Maintain proper and update systems for filing, inventory and data capturing. Prepare and distribute training memo’s, student’s documents and any other correspondence related to the unit to various stakeholders. Order material, supplies and other services as needed. Execute any other duties as delegated by supervisor.
